2. What this is about

We promote our events (such as meetups and workshops) through the event platform Luma and also sell tickets there. The following notes explain how we process your data in this context.

3. What data we process

  • Name and email address
  • Information you provide voluntarily when registering (e.g. company, position, answers to registration questions)
  • Ticket and payment information (e.g. ticket type, price, payment status). We do not receive your full payment details; these are processed by the payment service provider.
  • Check-in status on the day of the event
  • Photos and videos taken during the event

4. Purposes and legal bases

Organising and running the event: We process your data to handle your ticket, send you information about the event and organise admission. The legal basis is the performance of the contract for your participation (Art. 6(1)(b) GDPR).

Legal obligations: We retain data on your ticket purchase to the extent required by commercial and tax law (Art. 6(1)(c) GDPR).

Invitations to future events: We use your email address to inform you about similar future events, workshops and sessions run by Kambria Solutions GmbH. The legal basis is our legitimate interest in maintaining our contacts and promoting our events (Art. 6(1)(f) GDPR in conjunction with Section 7(3) of the German Act Against Unfair Competition, UWG). You can object to this at any time, at no cost to you other than the transmission costs at basic rates.

Photos and videos: We take photos and videos during our events and publish a selection of them on our website and our social media channels (e.g. LinkedIn and Instagram) to report on the event. The legal basis is our legitimate interest in documenting and promoting our events (Art. 6(1)(f) GDPR). If you do not wish to be photographed, please let us know before the event by emailing events@kambria.de. On request, we will remove already published images in which you appear, as far as this is possible for us.

5. Recipients

Luma: Registration and ticket sales are handled through Luma Labs, Inc. (USA). Luma processes your data on our behalf. We have concluded a data processing agreement with Luma under Art. 28 GDPR. Luma’s own privacy policy additionally applies to your use of Luma itself, for example a Luma account of your own: https://luma.com/privacy

Payment service provider: Payment for your ticket is handled by Stripe, the payment service provider used by Luma.

Social media platforms: When we publish images on LinkedIn or Instagram, they are publicly visible there and are also processed by the platform operators.

Photographers: Where needed, we commission external photographers who work on our behalf.

6. Transfer to the USA

Luma Labs, Inc. is based in the USA. We base the transfer of your data there on the standard contractual clauses of the EU Commission (Art. 46(2)(c) GDPR), which form part of our contract with Luma.

7. Retention period

  • We delete participant data 12 months after the event, unless a statutory retention obligation applies.
  • We keep your email address for invitations until you object.
  • We retain ticket purchase data for the duration of the statutory retention periods (up to ten years).
  • Published photos and videos remain online for as long as they are relevant to reporting on our events, or until you object.

8. Is providing your data mandatory?

We need your name and email address to issue your ticket and keep you informed about the event. Without this information, you unfortunately cannot take part. All other information is voluntary.

9. Your rights

You have the right to access, rectification, erasure, restriction of processing and data portability (Art. 15–20 GDPR). You can also lodge a complaint with a data protection supervisory authority, for example the Berlin Commissioner for Data Protection and Freedom of Information, the authority responsible for us.

Right to object (Art. 21 GDPR): You can object at any time, without giving reasons, to the use of your email address for invitations to future events. On grounds relating to your particular situation, you can also object at any time to the processing of images in which you appear. A short email to events@kambria.de is sufficient. Every invitation email also contains an unsubscribe link.
